Distribution ERP

Distribution ERP: Connecting Drop Shipping, EDI and Customer Orders

Follow a distribution order from EDI or sales entry through allocation, supplier-direct fulfillment, shipment confirmation and invoicing.

Start with one dependable sales-order record

Distribution teams need to connect customer demand to actual supply. An order may arrive through direct entry, an eCommerce integration or an EDI transaction. Regardless of the source, the ERP record should identify customers, items, quantities, terms, ship-to information and the expected delivery workflow.

Choose the fulfillment path

Illustrative ways to fulfill an order
PathWhen usedCore transactions
Warehouse stockUsable goods available locallyAllocate → pick → pack → ship
Split allocationMore than one facility holds stockConfirm split → release warehouse tasks
Supplier-directApproved supplier ships to customerSales order → linked PO → shipment confirmation

These choices should consider freight, customer expectations and the specific capabilities enabled in the ERP configuration.

How a drop shipment works

  1. Enter or import the customer order.
  2. Confirm that the item and supplier are eligible for direct fulfillment.
  3. Create a linked supplier purchase order under approval rules.
  4. Receive shipment and tracking confirmation from the supplier.
  5. Reconcile the order and invoice according to the agreed business process.

Clear order linkage helps prevent a shipment from being treated as both warehouse stock and supplier-direct fulfillment.

Where EDI fits

Common distribution document types include EDI 850 purchase orders, EDI 856 advance ship notices and EDI 810 invoices. These are transaction formats, not proof that every trading partner integration is automatically configured. Mapping, validation and partner-specific requirements still need review.

Sonic Fusion X identifies support for these document workflows in its distribution capabilities.

Give staff one connected operating view

Connecting sales orders, allocations, purchasing, warehousing and invoicing limits repeated data entry and improves traceability. A connected workflow should always make it clear which step is complete, which confirmation is pending and who can approve the next action.

Frequently asked questions

Does every drop shipment need to pass through a warehouse?

No. In supplier-direct fulfillment, goods may ship from the supplier to the customer without entering your warehouse; the ERP still needs order, purchasing and invoicing records.

Is EDI 850 the same thing as a sales order?

EDI 850 is a standardized purchase-order document exchanged between trading partners. An ERP may import it into a customer sales-order workflow after mapping and validation.
